Frequently Asked Questions
How can I request a courier pick up and what are the courier pickup times?
IDEXX BioAnalytics is offering a sample pick up service by DHL. A pickup can be requested 1 to 5 business days in advance via the completion of our online form.
We recommend booking the courier a least 24h before shipping. For pick up we are offering different pickup time slots (10:00-13:00 | 12:00-15:00 | 14:00-17:00). For some locations, the time frames could differ. The pick-up will be booked for the next available time frame.
If you book a courier more than 5 days in advance, we will send you the booking confirmation and the Airwaybill and the shipping instructions as soon the pickup will be possible. With every courier request via the online portal, you will get an auto response, to confirm your request was successful.
Can I book a courier myself or do I need to fill out the booking form each time?
IDEXX BioAnalytics is offering a password protected Self-booking tool for courier requests (DHL EPP Self-Booking tool: https://myepp.dhl.com/gw/premiumweb/secured/ShipmentBookingPre.action).
By using DHL EPP Self-booking tool, you have the flexibility to book your courier for your requested pick up time and date without contacting us.
IDEXX will provide you with all required login upon request.
The IDEXX self-booking tool can be only used for submission categorized as UN3373 (Biological Substance Category B). For submissions on dry ice (categorized as UN1845), please keep using the online portal. This tool is not available for 3rd countries (outside EU/EFTA).
What do I do or who do I contact if the courier driver fails to turn up during the agreed time frame?
For failed pick, up please contact idexxbioanalytics-europe@idexx.com. We can contact DHL on your behalf for information about the failed or delayed pickup. IDEXX BioAnalytics will also give you further advice if the Airwaybill can be reused or send you a new Airwaybill.
There can be various reasons as to why the driver does not turn up on the agreed time. One reason is an agreed pick-up time between DHL and your institution. In case your institute has such an agreement we recommend sticking with that timeframe.

How can I track my shipment?

If there is a delay in shipping, will the courier top up the dry ice/keep my ice-packed samples cooled during the delay?
How can I order some more shipment boxes and labels?
Can I put both mouse and rat samples in the box together or do they require separate shipment boxes?
Yes, you can ship mouse and rat samples together in one box.
Please make sure that you keep the samples of different species or different submission forms separated within the box (use separate specimen transport bags). IDEXX BioAnalytics needs separate submission forms per species.
Are there any required labels outside the shipping boxes?
IDEXX BioAnalytics recommends their customers to ship with the boxes and labels provided by us.
- Shipments on Ambient temperature/cooled within EU:
All boxes need to be labelled externally with a valid AWB and an UN3373 sign. IDEXX BioAnalytics’ cardboard boxes are already UN3373 prelabelled. If dry ice is used, attach a “Class 9, Miscellaneous Dangerous Goods (UN1845)” label to the outside of the shipping box. The amount of dry ice (in kilograms) must be marked and match with the stated amount of dry ice of the Airwaybill. NOTE: Dangerous Goods Labels (UN3373 and UN1845) must not be covered partly or completely by tape (even transparent) or any other shipping document. - Shipments from outside EU If applicable, please follow the instruction of adding labels of a. (shipping on ambient temperature/cooled) and b.(shipping on dry ice). In addition to the dangerous goods labels (UN3373 and/or UN1845) and the valid airwaybills, shipments from outside the EU must also contain customs documents within an external documents wallet.

How to ship samples on dry ice?
Shipping on dry ice is classed as a dangerous goods and the shipment must be labelled appropriately with a UN1845 label for “Class 9, Miscellaneous Dangerous Goods”. The Net amount of dry ice in kg needs to be clearly stated on the UN1845 label as well as on the Airwaybill.
If you request for a dry ice pick up, please indicate to the net amount of dry ice you plan to add to your box of samples. The amount of dry ice will be stated on the Airwaybill. In addition, the amount of dry ice must be written on the UN1845 label by hand, please make sure that the amount of the Airwaybill and the label are matching. The amount of dry ice indicated on the labels should meet the actual amount of dry ice you add to the box. Larger deviation (especially more dry ice than indicated) can cause delays in transport.
Samples on dry ice must be sent in an appropriate shipping box. IDEXX BioAnalytics recommend to ship in proper polystyrene boxes. Please seal the box carefully with tape. The Airwaybill and the Dangerous Goods labels UN1845 (incl. the amount of dry ice in kg) and the UN3373 label must be attached outside the box and remain visible during transport (no cover or partly cover of any label, not even with transparent tape)
I do not have access to dry ice - can dry ice be supplied?
How should I pack my samples?
All our samples are shipped as dangerous goods: UN3373 or UN1845. This labelling requires special packing requirements.
The packing must consist of three components:- A primary receptacle
- Secondary packing
- A rigid outer packing
Primary receptacles must be packed in secondary packagings in such a way that, under normal conditions of transport, they cannot break, be punctured, or leak their contents into the secondary packaging. Secondary packagings must be secured in outer packagings with suitable cushioning material. Any leakage of the contents must not compromise the integrity of the cushioning material or of the outer packaging.
IDEXX BioAnalytics recommend using our shipping and sampling material. We offer secondary packing with absorbent material and rigid outer packing to make sure your samples can be transported properly.
I need to cancel or amend my courier collection. Who should I contact?
I have the Self-booking tool, but my credentials are not working when clicking on “enter”. Why?
The DHL EPP Self-booking tool will not work with the command “ENTER”. Once you entered your credentials, please click on the magnifying glass on the upper right corner. Your user address will fill automatically.
If you still cannot log in successfully, please check that you entered the credentials correctly and there is no space in front of “Customer Code” or “Zip code”.
Should I put the packing slip/submission form outside or inside the parcel?
Which size should the UN3373 and UN1845 labels be?
The labels UN3373 and UN1845 are labelling the transport of dangerous goods. Therefore, they must meet standard expectation in size and usage.
The Rhombus of the signs need to be:
- UN3373: a minimum of 5cm x 5 cm
- UN1845: a minimum of 10cm x 10 cm
- Placed on a contrasting background, clearly visible and not covered or partly covered by tape (not even transparent)
